Settings

Gee Ledger has two types of settings: Business Settings (per-business) and User Settings (your account).

Business Settings

Navigate to Settings in the business sidebar. The settings page has several tabs:

General

  • Name — Your business display name
  • Description — A brief description
  • Currency — Default currency for transactions
  • Logo — Upload a logo (JPEG or PNG, max 2 MB) for documents

Contact

  • Address — Business address shown on invoices
  • Phone — Business phone number
  • Tax ID / Registration No. — Whatever your jurisdiction issues: SST, VAT, GST, ABN, EIN. Printed on invoices unless you hide it.

Details

  • Registration No. — Company registration number
  • VAT Number — VAT/GST registration
  • Website — Business website URL
  • Email — Business email
  • Company Size — Team size range
  • Industry — Business industry
  • Classification — e.g., Sole Proprietorship, LLC, Sdn Bhd

Documents

Document customization requires a Pro plan.

  • Accent Color — Color for headings and totals on documents
  • Footer Text — Custom text at the bottom of documents
  • Payment Instructions — Bank details and payment info (rich text editor)
  • Number Prefixes — Custom prefixes for invoice, receipt, quote, and credit note numbers
  • Field Visibility — Show or hide Tax ID, Location, Reference, and Note fields
  • Overdue Reminders — Enable automatic reminder emails and choose day offsets (1, 3, 7, etc.)

Danger Zone

  • Delete Business — Permanently delete the business and all its data (owner only)

User Settings

Access from the user menu (bottom of sidebar) → Settings:

Profile

View your display name, email, and profile photo. Your profile is managed by your Google account.

Appearance

Switch between Light, Dark, and System themes.

Notifications

Configure push and in-app notification preferences per notification type.

Download Your Data

Settings → Export my data produces a file containing everything associated with your account. It needs no reason and no request — do this before closing your account, because closing it is not reversible.

Closing Your Account

Settings → Close my account begins a permanent deletion.

  • There is a 14-day grace period. Cancel any time within it and nothing is lost.
  • After that everything associated with your account is erased, not hidden — this is not a soft delete.
  • You will be asked to confirm in writing.

If you are the sole owner of an organization other people still work in, Gee Ledger refuses and names the organizations involved. Deleting would take away someone else’s books; skipping them would leave an account that claims to be closed while still owning something. Transfer ownership or remove the other members first.

The refusal appears when you preview the closure, before you type anything — not as a failed request afterwards.
